VISA INFORMATION

Participants are advised to check visa requirements for entry into South Africa, including information available on the website of the Department of Home Affairs of the Republic of South Africa, based on their nationality and country of residence before making travel arrangements.

Entry requirements may vary, and participants are responsible for ensuring they meet all applicable immigration and travel regulations, including passport validity requirements.

As visa processing times may vary and can take several weeks, participants requiring a visa are strongly encouraged to apply well in advance through the South African Embassy, High Commission, or Consulate in their country of residence.

We strongly recommend starting the visa application process at least two months before the Conference.

Official Invitation Letter

The Conference Secretariat assists delegates with issuing official invitation letters for visa purposes.

How to Request an Invitation Letter

Delegates who require an invitation letter should select this option during registration and provide all required information directly in the registration form.

Invitation letters can only be issued after full payment of the registration fee has been received. We recommend online payment as the fastest payment method.

Once the request for an invitation letter has been submitted in the registration form, delegates are kindly asked to wait until they receive the invitation letter from the Conference Secretariat to the email address provided during registration.

Please allow up to 10 days for the invitation letter to be issued after payment confirmation.

Required information for the invitation letter:

  • Full name
  • Date of birth
  • Place of birth
  • Country of citizenship (country that issued your passport)
  • Passport number
  • Passport expiry date

Official invitation letters do not commit the Local Organiser to any financial obligation.

The invitation letter will be sent by email as a PDF file once all required information has been provided.

If the embassy requires an original invitation letter, it can be delivered by one of the following methods:

  1. Regular post – free of charge. Please note that delivery cannot be guaranteed and tracking is not available. The organisers cannot be held responsible for delays or unsuccessful delivery.
  2. Express courier service (FedEx or DHL) – available at an additional cost to be paid in advance together with the conference fee. The delivery fee ranges from EUR 40 to EUR 80 depending on the destination country. This option is recommended as delivery is faster and can be tracked.
